Owlinq transforms how Customer Success teams leverage customer intelligence by automatically
monitoring signals across news, social media, job postings, funding, and public data sources.
Our AI-powered platform analyzes these signals to generate actionable insights, risks, and
opportunities directly within your HubSpot CRM.
This guide will walk you through the complete installation and setup process, from initial
authorization to accessing your first intelligence insights.
Prerequisites
- HubSpot Account: Active HubSpot account with CRM access
- Admin Permissions: You must have administrator or super admin privileges to install
apps
- Company Data: At least one company record in your HubSpot CRM
- Browser: Modern web browser (Chrome, Firefox, Safari, or Edge)
Note:
Owlinq requires specific HubSpot permissions to function properly. During installation,
you'll be asked to authorize access to:
- Companies (read/write)
- Contacts (read/write)
- Owners (read)
- Users (read)
- CMS Domains (read)
Installation Steps
Install Owlinq from HubSpot Marketplace
Navigate to the HubSpot App Marketplace and search for "Owlinq" or visit
the direct listing page. Click the "Install app" button.
Tip:
You can also install Owlinq directly from your HubSpot account by going to
Settings → Integrations → Connected Apps → Visit App Marketplace.
Authorize HubSpot Access
Review the requested permissions carefully. Owlinq needs these permissions to:
- Read Companies & Contacts: Map your customer base and identify key relationships
- Write Tasks: Create actionable tasks based on intelligence insights
- Read Owners & Users: Assign tasks to the right team members
- Read Domain Info: Identify your company website for context
Click "Connect app" to grant these permissions and complete the OAuth authorization.
Important:
If you decline any required permissions, Owlinq will not function correctly. You can
review and modify app permissions later in HubSpot Settings → Integrations → Connected Apps.
Wait for Initial Synchronization
After successful authorization, Owlinq will automatically begin its initial synchronization process:
- Account Sync (~2-5 minutes): Maps your companies, contacts, and account structure
- Intelligence Crawl (~10-15 minutes): Collects public signals from news, social,
jobs, and more
- AI Analysis (~5-10 minutes): Generates insights, identifies risks and opportunities
Note:
The initial sync can take 20-30 minutes depending on your account size. You'll receive a
confirmation message once complete. You can close the window and return later.
Configure Owlinq Settings (Optional)
After installation, navigate to Settings → Integrations → Connected Apps → Owlinq
to configure your preferences:
- Enable Analyzer: Toggle AI-powered insight generation (enabled by default)
- Enable Playbook: Toggle automatic task creation based on playbooks (enabled by
default)
You can view your account summary including domain, active status, and last update timestamp.
Add Company Intelligence Card to CRM
To view intelligence insights directly on company records:
- Navigate to any Company record in your HubSpot CRM
- Click "Customize" in the right sidebar
- Find "Owlinq Company Intelligence" card in the available cards list
- Click "Add card" to include it in your company view
- Drag and drop to position it where you prefer (we recommend near the top)
Success!
The Owlinq card will now display recent events, opportunities, and risks for each company,
helping you stay informed and take timely action.
Understanding the Owlinq Card
Once installed, the Owlinq Company Intelligence card provides a comprehensive view of each company's
activity:

Latest news, product launches, announcements, and hiring activity detected across public sources.
🎯 Opportunities
Growth signals including expansion indicators, partnership potential, and upsell triggers.
⚠️ Risks
Churn signals, competitive threats, organizational changes, and potential engagement risks.
Confidence Scores
Each insight includes a confidence score (0-1) indicating our AI's certainty:
- High (0.7-1.0): Strong evidence from multiple reliable sources
- Medium (0.4-0.7): Moderate evidence, worth monitoring
- Low (0-0.4): Preliminary signals, requires validation
Best Practice:
Use high-confidence insights for immediate action, medium-confidence for monitoring,
and low-confidence for exploratory research.
Data Sources & Coverage
Owlinq continuously monitors multiple signal types to provide comprehensive customer intelligence:
Intelligence Sources
- News & Media: Business news, press releases, and industry publications
- Company Websites: Blog posts, events, news sections, and product updates
- Job Postings: Hiring trends indicating growth, expansion, or strategic shifts
- Social Signals: LinkedIn activity, X posts, and company updates
- Search Trends: Sentiment analysis from search patterns and keyword trends
Update Frequency
Owlinq runs automated scans on the following schedule:
- Account Sync: Every 24 hours
- Intelligence Crawl: Every 24 hours
- AI Analysis: After each crawl completes
- Manual Refresh: Available on-demand from Settings page
Data Privacy:
Owlinq only collects publicly available information. We do not access, store, or analyze
any private communications, internal documents, or sensitive customer data from your HubSpot account.
Company Selection & Prioritization
Owlinq intelligently prioritizes which companies to track based on your CRM activity and preferences:
Using the "Owlinq" Company Property
After installation, Owlinq adds a custom property called "Owlinq" (Yes/No checkbox)
to all company records. Use this to control tracking:
- Yes (checked): Company is prioritized for intelligence tracking
- No (unchecked): Company is excluded from tracking
- Unmarked: Company may be tracked based on engagement activity
Automatic Prioritization
When not manually tagged, Owlinq prioritizes companies by:
- Companies marked "Owlinq = Yes"
- Most recently engaged companies (tasks, emails, meetings)
- Companies with recent activity in the last 90 days
Pro Tip:
Tag your top 20-50 strategic accounts with "Owlinq = Yes" to ensure they're always monitored,
regardless of recent activity.
Troubleshooting
Card Not Showing Data
If the Owlinq card appears empty or shows no insights:
- Verify the initial sync has completed (can take 20-30 minutes)
- Check that the company has a valid website domain populated in HubSpot
- Ensure the company is not marked "Owlinq = No"
- Confirm Owlinq has sufficient public data for the company
Permission Errors
If you see permission-related errors:
- Go to Settings → Integrations → Connected Apps → Owlinq
- Click "Review scopes" to verify all required permissions are granted
- If needed, disconnect and reconnect Owlinq to re-authorize
Data Not Updating
If insights appear stale or outdated:
- Check Settings → Integrations → Owlinq to see last sync timestamp
- Verify "Enable Analyzer" is toggled ON
- Use "Run Manual Sync" button to force immediate update
- Wait 30-45 minutes for the full pipeline to complete

Identify your top 20-50 strategic customers and mark them with "Owlinq = Yes" to ensure

Look for patterns in opportunities and risks.
Act on High-Confidence Signals
When you see high-confidence opportunities (0.7+), create follow-up tasks or outreach
immediately. Timely action on expansion signals drives revenue.
Monitor Risk Indicators
Pay special attention to risk signals like leadership changes, budget cuts, or competitive
activity. Early intervention can prevent churn.
Enrich Your CRM Data
Ensure company records have accurate website domains. The more complete your CRM data,
the better Owlinq's intelligence becomes.
Privacy & Security
Data We Access
Owlinq accesses the following HubSpot data:
- Company records (name, domain, industry)
- Contact information (name, email, phone)
- Task and activity history
- User and owner information
Data We Collect
Owlinq collects only publicly available information:
- Public news articles and press releases
- Company website content (homepage, blog, news)
- Public job postings
- Social media posts (public profiles only)
- Search trends and sentiment data
Data Storage & Security
- All data encrypted at rest and in transit
- Hosted on Cloudflare's secure infrastructure
- SOC 2 compliant infrastructure
- GDPR compliant data handling
- Israeli privacy law compliance
Data Retention
- Intelligence signals: 90 days
- Generated insights: Until manually deleted or account uninstalled
- Account sync data: Refreshed every 24 hours
Data Removal:
You can request complete data deletion at any time by emailing
[email protected]. We'll remove all data within 7 business days.
Uninstalling Owlinq
If you need to uninstall Owlinq from your HubSpot account:
- Navigate to Settings → Integrations → Connected Apps
- Find Owlinq in the list of connected apps
- Click the app name to open settings
- Click "Uninstall app"
- Confirm the uninstallation
Note:
Uninstalling will:
- Remove the Owlinq card from all company records
- Stop all intelligence monitoring and analysis
- Revoke Owlinq's access to your HubSpot data
Your historical insights and tasks created by Owlinq will remain in HubSpot.
To request deletion of all data we've collected, email
[email protected] after uninstalling.
